About Telemetry

To better understand how our clients use Cryptshare, to improve our product and our support with the help of this information, the Cryptshare Server can transfer certain information to Pointsharp GmbH.

Which Data is transferred?

The following data is collected and transferred to us: Statistic data:

  • Number of different email addresses having used the system that are members of the licenced domain(s), in total and per used product (where technically determinable).
  • Number of different email addresses having used the system that are not members of the licenced domain(s), in total and per used product (where technically determinable).
  • Number of different email addresses having used the system as sender in the licenced domain(s).
  • Number of different email addresses having used the system as recipient in the licenced domain(s). When a recipient is also a sender, they count as sender.
  • Number of transfers that were initiated by members of the licenced domain(s), in total and per used product.
  • Number of transfers that were not initiated by members of the licenced domain(s), in total and per used product.
  • Incoming total transfer volume.
  • Outgoing total transfer volume.
  • Number of different email addresses having used the QUICK feature that are members of the licenced domain(s).
  • Number of different email addresses having used the QUICK feature that are not members of the licenced domain(s).
  • Number of QUICK enabled transfers that were initiated by members of the licenced domain(s).
  • Number of QUICK enabled transfers that were not initiated by members of the licenced domain(s).
  • Number of QUICK accessed transfers that were initiated by members of the licenced domain(s).
  • Number of QUICK accessed transfers that were not initiated by members of the licenced domain(s).
  • Incoming QUICK transfer volume.
  • Outgoing QUICK transfer volume.

General information:

  • Email addresses of all administrators that are defined under "System Settings" - "System Notifications". The email addresses of the administrators will exclusively be used to send Technical Product Notes which are relevant to Administrators of Cryptshare Servers to operate the system in a secure and effective way. This information may contain:
    • Release Notes: These release notes will help you understand what additional features and benefits a new version of Cryptshare will bring to your business, which issues have been resolved, which manual tasks may be required prior, during or after the update and how to use any new features in a way that brings most value to your business.
    • Security-critical announcements: We will inform you in case of any security threats that affect your Cryptshare Server so you know when and how we will remediate the security issue and how you can mitigate any potential risk in the meantime.
  • Cryptshare Server Version.
  • The URL of the Cryptshare server.
  • The timestamp of the sending of telemetry data.
  • The begin of the covered telemetry period.
  • The end of the covered telemetry period.
  • The duration of the telemetry period in days.

Licence information:

  • The customer name.
  • The customer ID.
  • The licenced domains.
  • The information if it is a trial or productive licence
  • The information if collection of usage data is activated.
  • The information if collection of usage data is forced (not changeable in administrator interface).
  • The information about the available products: licenced (true/false), expiration date, subscription date

    • Outlook client
    • Notes client
    • Robot client
    • Java API
    • Dotnet API

Administrators who do not want to receive this kind of information, can unsubscribe from it by clicking the corresponding link in the email message. To re-activate the reception, please get in touch with us.

What period of time does the sent data cover?

The sent data covers the period of the last 12 months (from the date of sending).

How can I see if data is being transferred?

The Cryptshare Server only transfers data to Pointsharp GmbH if the option "Send usage data to the vendor on a regular basis” on the page "System Status“ – "Overview“ on the Administration Interface is enabled.

  • For customers that have acquired Cryptshare before 11th September 2017, the option is inactive by default and can be enabled manually.
  • For customers that have acquired Cryptshare after 11th September 2017, the option is enabled by default and can be deactivated manually.
  • For customers that have acquired Cryptshare before 11th September 2017 and that are installing a licence key, that was created after that date (e.g. due to a renewal), the setting remains the way it was before the exchange of the licence key.

Under certain conditions that need to be agreed between a sales person of Pointsharp GmbH and our customer, we can configure this option so that it cannot be deactivated. In this case the check box for this option is checked and cannot be unchecked.

How is the data transferred?

The data is transferred over your own Cryptshare Server and sent to our email address [[1]] The transaction is encrypted. The password for the transfer is derived from your licence key and therefore only known to your Cryptshare Server and to our receiving system.

How often is data being transferred?

The frequency of data transfer depends on the type of licence. We distinguish between the test licence and the productive licence. You can see when the last data transfer has taken place. Open the screen „system status“ on the  administration interface.

  • When you run your system on a test licence the data is transferred weekly on friday.
  • When you run your system on a productive licence the data is transferred every months on last day of month.

If the Cryptshare server is not running at the due date of the data transfer, the data will be sent at the next possible time. Usage data is also sent if the licence changed on Cryptshare server.

You can see when the last data transmission took place. To do this, open the "System Status" - "Overview" screen on the administration interface.
