2.10 About Update Method 2 - Template Update

In this method, the templates are updated and any changes and updates which are provided by this new version are applied and configured manually.


  • Update can take place during operation (short downtime only).


  • No updating of the e-mail templates.
  • More complex due to the template update and the design refresh to be performed in advance with an empty template.
  • More extensive settings necessary, since there are no pre-settings for the configuration.

Basic procedure:

Update the current CS4N application with the new CS4N Template V2.10 from the update package.
Transfer individual customer-specific information from the secured, old CS4N application to the new CS4N application.


The CS4N version 2.10 is compatible with Domino Server version 9.0.1 FP8 and onwards running the Java version 1.8.0 (Compatibility table).

Updating the Cryptshare for Notes application (cryptshare.nsf)

As the design of the CS4N Applications is hidden, some Notes installations seem to have issues updating the design completely when using the standard “Refresh Design” feature of Notes. We recommend the following procedure to make sure that the design update is complete:

  • Compress the CS4N templates (using default settings)
  • Sign CS4N templates (using default settings)

    The process of signing applications takes place in the background after the success message is shown. Please make sure that the process has fully completed in the background before continuing with the further steps.
  • Create a new, empty design template


Updating the CS4N Application

Replace the design (do not use the “Refresh Design” feature) with the new, empty design template that you have previously created. This will make sure that all design elements of the current application are deleted from the database:


Please check the result by opening the database in Domino Designer to see if all design elements have been removed. If not, please remove any remaining design elements manually.

  • Now replace the design with the current CS4N Template v2.10 (-T-Cryptshare V2.10.ntf).


    Uncheck the box „Hide formulas and LotusScript”

  • Open the CS4N Application as Administrator with the role [Administration] and check for the CS4N version.

Open the CS4N application, go to "Configuration" and save the configuration settings. Re-open the CS4N application.

Update Language Names

If you are using an English Notes client for the configuration of Cryptshare for Notes, please update the display names of the languages via the button "Refresh" under the "Rules" Tab

Showing the Maximum File Transfer Size

If you have previously changed the maximum file transfer size on the Cryptshare server, you should check the values in the "Rights → Transfer Rights" tab in the configuration. 

You can update the "Max. size of file to be transferred" on the "Cryptshare Server" tab by clicking on "update"

Now check the individually set limits transfer size in the "Rights" → "Transfer Rights" tab:


Tagging Saved E-Mails in Your Personal Mailbox

To enable users to see which emails were sent via "Cryptshare for Notes" you can now configure a tag which will be prefixed or suffixed to the subject field. This tagging function will work for both emails that are sent via the "Cryptshare for Notes" application or via the mail integration functionality. You can configure this in the "Rules" tab under "Manually created emails":

Access to E-Mails in the CS4N Outgoing Message Queue

If necessary, the rights to be able to edit outgoing emails in the outgoing message queue can be restricted to selected administrators.

Simply add the new role [EmailEditor] into the ACL. Admins with this additional role will be able to perform the following additional functions:

  • Edit outgoing emails in the outgoing message queue.
  • Change the access control field in the "Cryptshare for Notes" configuration.


The role [Administration] is a pre-condition for the role [EmailEditor].

Any Notes ID with the roles [Administration] and [EmailEditor] should require multiple passwords in order to prevent the manipulation of emails by a single person.

Using the E-Mail Integration in Your Personal Mailbox

If you are using the email integration in personal mailboxes (subform in the memo form), please update as follows:

Copy the new script library "BEFINE-CS4N-Mail-Integration" and the subform "Befine CS4N-Integration" from the template "-T- Cryptshare Library V2.10.0.ntf" into your mail template. Sign this and update the users mailboxes. See: "Integration into personal mail files".


No other configuration changes need to be made.
